Although RPJ are based just north of London we offer a nationwide service.  We have document scanning clients throughout the UK.  Our location is not important to our clients, as we are happy to collect the documents for scanning and return them, if required, afterwards.  Therefore they do not mind where we are based, because it has no impact on them.

Delivering the scanned document files is of course much easier : they can be delivered in almost no time at all, anywhere in the UK. That efficiency and convenience demonstrates the business case for having the documents scanned.

Tips On Choosing A Scanning Supplier

Don’t pick the biggest company.  They may not value you as a customer.  Be realistic : will you be in their top 100 clients ?  If not, you are not important to them, and it will show.

Don’t pick the cheapest supplier.  Cost is important, but so is quality.  All the time saved by scanning can quickly be lost again if the scans are poor quality, or their delivery is late.

Don’t pick the nearest supplier.  One of the reasons you are scanning your documents is to make geography into history.  It doesn’t matter where your documents are scanned : it does matter that they are available to your company all the time, and anywhere.

Do Photocopiers Really Help ?

The photocopier has had a long run since Xerox introduced their first model in 1959.  For a lot of that time a copier has been seen as an essential part of document management in every office.

But does it really help ?  Creating copies means that updates to the original master document are not propagated around the organisation.  It’as almost impossible to make sure everybody has the correct up-to-date version of a document.  Staff love t omake a copy for their private use, and tuck it away at the back of their desk.

Plus, confidentiality is at risk, and access control is compromised, because there is no longer any effective control or management of the document.

Photocopiers are expensive, and the costs are not always clear.  They include :

  • purchase or lease
  • maintenance or rental
  • consumables : paper and toner
  • staff time : queuing and copying
  • office space

Perhaps the copier has held back progress to the Paperless Office so widely predicted and so slow to arrive.  Replacing the copier with efficient document scanning and document management is the way forward.
